Terms and Conditions

The following terms and condition apply to all bookings for Villa Mango which is managed by PT. Bali Familia that are marketed under the brand name Villa Mango. By completing your booking or paying a deposit, you confirm that you have read, understood and accepted our Terms and Conditions.

INVOICING

As of July 1st 2015, Indonesian Law requires all invoices to be issued in Indonesian Rupiah (IDR).

RESERVATION

After completion of your booking, the management will email a reservation confirmation and send an invoice requesting for full payment or deposit which is to be paid within 3 business days in order to hold your booking reservation. If payment is not received within 3 days, your booking will be released.

PAYMENTS

BANK TRANSFERS

  • All bookings require a 50% deposit or full payment via website.
  • For payment balance, the balance must be settled 30 days before arrival.
  • All bookings made within less than 30 day requires full payment.
  • All pending balances will be invoiced and requires proof of payment within 3 days after booking
  • If the proof of payment is not received, the villa booking will be released.
  • The guest stay will be cancelled due to breach in terms and conditions.
  • Guest payment will be refunded for credit stay only, less admin costs.
  • A new booking will be allowed with your credit, based on availability only and will might require a payment difference based on the current daily rate
  • Otherwise your booking may be cancelled and deposit will be forfeited.

BOOKING DEPOSITS

Payment can be made online by credit card or bank transfer.
Once payment of the deposit is received, booking reservation is guaranteed and this confirms that customer has agreed to the booking Terms and Conditions.

BALANCE PAYMENT

30 days before arrival, we accept credit card or bank transfer.

CREDIT CARD PAYMENTS

Will be charged in Indonesian Rupiah. Indonesian government regulations requires IDR currency usage for all sales transactions. The amount equivalent to IDR will be shown on your country’s currency in your cards statement, under your bank’s card exchange rate. Indonesia Bank applies a 2.5% credit card processing fee for debit or credit cards.

BANK TRANSFERS

Full payment is required for all bank transfers and you are required to pay the bank transfer fees for both ends. Please make sure to accept the option to pay the bank transfers for both sides. Any due balance will be collected upon check in.

CANCELLATION POLICY AND BOOKING CHANGES

DEPOSIT & PAYMENT BALANCES

  • Booking cancellation is 100% refundable within 48 hours AFTER booking (provided arrival is at least 30 days away)
  • Booking cancellations are not refundable 30 days prior or AFTER arrival
  • Deposits and balances are non-refundable under any circumstances otherwise stated
  • Your Travel Insurance claims should cover the cost of your travel or booking cancellation costs in lieu of refunds based on their own policy criteria
  • On case-by-case basis, the management will consider the customer reasons for the travel changes based on proof of circumstances to allow the use of the a credit note on the deposit to be used for a later booking date, within a time limit of 1 year.
  • The use of credit note for booking of another date, depends on villa booking availability and requires 2 month advanced notice.
  • In the unlikely event that international travel is not possible due to border closures, and insurance does not cover your booking cancellation costs, we would offer a “credit note” in exchange within a validity of 12 months from the date the country’s borders reopens.

VILLA CAPACITY IS 6 PERSON

  • We allow 2 extra beds maximum
  • The daily cost for extra bed is USD 50.00 or equivalent current rate advised by management in IDR.
  • If extra bed has been booked and cancelled, a cancellation penalty fee of one night usage applies.

DEPOSIT PAYMENTS

Which have been paid for Villa Mango booking cannot be transferred to another villa, unless there is an exceptional approval from owner and authorization from PT. Bali Familia management.

ONE TIME BOOKING CHANGE

Booking date changes can only be considered with a 2 months email written notice, prior to original check in date, only one time, otherwise the management has the right to charge the guest for the original invoice amount. A new invoice will be issued and a different price in Rupiah may apply to the new invoice. However, the Rupiah amount already paid as deposit will be used towards payment of the new invoice.

NO SHOW & EARLY DEPARTURE

Villa booking deposit and/or full payments made are non-refundable.

TRAVEL INSURANCE

We also strongly advise you to obtain travel insurance to cover unforeseen medical or travel issues – it is inexpensive, at only a few dollars a day. Travel Insurance claims are to be used in lieu of refunds.

CHANGES THAT CAN BE CONSIDERED

  • Change the date of stay to have the check in date is earlier than the original booking (based on availability)
  • Change the date of stay to have the same stay length but the check in date is later than the original booking, max 12 Months from the original check in date (new rates might apply based on the season of the new date)
  • Extend the stay (based on availability).
  • Any approved shortening of stay must still comply with the minimum stay rules of 3 nights (5 nights in High season and Peak season)
  • Upgrade the number of rooms used (based on availability) at an extra cost.
  • A change in the actual villa booked will unlikely be considered under any circumstance
  • All changes to an original booking are completely at the discretion of Villa Mango owner and PT Bali Familia and has no obligation to make any changes to the original booking.
  • Any change to the original booking approved – will not result in a reduction in the deposit paid, balance paid, or balance due, which is why travel insurance is so important to obtain upon booking.
  • An administration fee of USD $25.00 will apply to all booking amendments.
  • Should you leave earlier than expected, full payment will still be required.
  • Bookings made through third party providers are subject to the cancellation policy stated by that service.

MINIMUM STAYS, CHECK-IN & CHECK- OUT TIMES, AND RENTAL RATES

  • The minimum stay is generally 3 nights (5 nights in high and peak season).
  • Check in time is from 2pm and Check out time is before 11 am.
  • A late check out can be booked at half the daily rate after 5pm – subject to availability.
  • A late check out can be booked at USD25.00 between 2pm and 5pm – subject to availability.
  • A late check out can be booked free of charge, until 2pm – subject to availability.
  • A late check out from 11pm onwards requires a full daily rate – as this is a villa stay extension – subject to availability.
  • Rental rates vary according to the season and are subject to change without notice; the customer is advised to check the applicable rates on our website before making a booking.
  • We do not accept arrivals or departures on Nyepi Day

VILLA OCCUPANCY

It is imperative that at the time of booking, and at guest registration prior to arrival, the exact number of adults and children who will be staying in the villa is correctly advised.

  • This is to ensure not only correct transportation arrangements can be made, but that the villa is prepared correctly, and facilities are adequate, for the comfort of all guests If there is any change in guest arrival numbers, it is the responsibility of the guest booking to advise PT Bali Familia of any changes, as soon as it is known, and before the check in date. Changes approval is at villa owner and management’s discretion.
  • It is Indonesian law that all guests must be registered with us – any unadvised guests upon arrival may be subject to extra charges or refusal of stay.
  • The Maximum Number of People for Villa Mango is the equivalent of 2 people per bedroom – e.g. for a 3 bedroom, maximum is 6 people.
  • Infants can of course be catered for with baby cots, and small children (below 12 years old) may also be permitted to stay in a bedroom with parents, at the discretion of owner and management.
  • More than 2 people per bedroom – “can of course be considered”, with the addition of extra beds – the maximum per villa being on a case by case basis.

EXTRA PERSON POLICY

  • Kids or Adult stay – extra bed charge of USD 50.00 or equivalent in IDR per person/night
  • Children ages 0 – 4 y/o – Free of charge, if does not require baby cot
  • Children ages 5 – 11 – without an extra bed is free of charge
  • Children ages 12 and up – will be considered as an adults and require an extra bed charge of USD 50.00 or equivalent in IDR per person/night

MINIMUM STAY AGE & BOOKING ON BEHALF OF OTHERS

Bookings cannot be made by, or on behalf of other persons without prior agreement with management. If a booking was made by credit card, the card used for the booking must be presented otherwise the check in may be refused.

  • No bookings will be accepted by guests under the age of 25 without prior management approval on a case by case basis. A larger security deposit may be requested. If such bookings as described are made without management approval, they may be cancelled by management at any time and any monies paid non-refundable.

INSURANCE

The customer is strongly advised to buy their own travel insurance, for the unlikely event of any illness, accident, loss of personal items or other travel related contingencies during their travel or stay in Bali, and particularly covering natural disasters. Travel Insurance claims are to be used in lieu of refunds

REGULATIONS

Guests are required to comply with local Indonesia laws and regulations.

  • A copy of passports is required at check-in for police registration, and only registered guests can stay in the villa, else authorities impose high penalties.
  • No smoking, drugs or any illegal activities are permitted on the villa premises.
  • The guests need to show consideration regarding noise levels and to respect the privacy of other guests and neighbours.
  • Any cost of dealing with police or other authorities is the responsibility of the guest.
  • Pets are not permitted on the premises at all times.
  • If guests do not show consideration to noise levels or proper behaviour, they may also be given 2 warnings, after which, their stay may be terminated, and required to move out immediately, without any refund.
  • Guest are required to comply with villa

PARTY POLICY

  1. No parties allowed
  2. Music with minimum volume allowed until 10PM – no additional sound systems are allowed. Villa Mango is situated in a quiet residential area and we respect our neighbours, visitors and families in other villas and houses in the area.
  3. In Bali for gatherings of people larger than the villa usually accommodates (e.g.foraparty) there is a Banjar or Local Community fee of – IDR 2,000,000 or more applicable. This is not from our company, but local government rules. The money goes to the local Banjar or council and provides for a confirmation letter advising Banjar approval for the gathering, and also the provision of extra Balinese security (Pecalang) from the Banjar – if there is any complaint from a neighbour, we then have this backup already. There is also a small cleaning fee of IDR 500,000 for our staff to do an extra clean up after your celebration.

DRONE USAGE

Drones are not to be used at Villa Mango or around Villa Bugis properties without the prior permission of PT Bali Familia or Villa Bugis Management.

FIREWORKS

Due to the flammable nature of many villa roofs, fireworks are strictly prohibited and may result in the immediate termination of stay without refund.

GUEST RESPONSIBILITY AND SECURITY DEPOSIT

GUEST RESPONSIBILITIES

Guest are responsible for the proper usage and care of furnishings and appliances and any damage caused to the villa property during their stay or for any extra charges incurred. We will please ask you to settle all outstanding payments or damage repayment before departure.

The customer is responsible for any damage caused to the villa or its content during the stay, this includes damages caused by other people that the customer invites to the villa.

  • A security deposit paid in cash or credit card authorization of 3 million Rupiah to cover damages is required at check in, and may be held up to 14 days after check out, where no damage is found.
  • For security deposit refund made via credit card payment there will be a 2.5% credit card fee, and it can be refunded upon check out by cash IDR.
  • Security deposit can be refunded to your credit card or via bank transfer but it may take a long time to post to the account – around 14 working days or more from the bank and credit card bank issuer, and the amount received might be different due to fees, charges or the exchange rate, which is outside of our control.

DAMAGES INCURRED AT PROPERTY

The replacement value of any items damaged during your stay will be withheld from the security deposit. Additional charges may apply should the damage exceed the security deposit amount.

LOSS OR DAMAGE OF PERSONAL ITEMS & ILLNESS AND PERSONAL INJURY

Please be advised that the villa owner or management are not responsible for any loss or damage to personal items, illness, injuries or accidents during your stay in our villas.

DELAY IN ARRIVAL

Changes in travel schedules for any reason cannot be compensated by the management.

MACHINERY OR EQUIPMENT MALFUNTION AND SEVERE WEATHER ISSUES

Management can’t be taken responsible for the failure of machinery or equipment in the villa, such as wi-fi connectivity, electricity etc … but the management will aim to assist the customers in the best way possible and have any such problems rectified as quickly as possible. Electricity, Cable, Internet, transportation – these services depend on the performance of external providers such as electricity, cable TV, internet and transportation. The management does not accept responsibility for any events that are outside the control of the management, such as fire and severe weather.
